Policies are subject to change, and this page is not inclusive of all policies. Please contact us if you have questions.
Registration
- Maximum of one (1) table and one (1) registration per artist.
- Please do not register more than once, whether it is as yourself or as part of a group. If there are multiple registrations, we will refer to your most recent and forfeit/remove you from all others.
- Sharing will be limited to 3 artists maximum per full table. Half table registrations will be limited to 1 artist only.
- Half tables may not guarantee space for table assistants.
- We will provide a maximum of two chairs per full table. Please bring your own additional chair if you will have a third person.
- All participating artists must have read and agreed to our waiver and contract.
- We ask that you submit your information as accurately as possible during registration. However, small details (e.g. artist alias, profile blurbs) can be updated later if necessary by contacting us via email.
Table Partners
- We encourage artists to finalize their group before signing up together, to respect the fairness of our registration/jury system. Swap requests should be made only in absolute necessity.
- If someone in the group is no longer able to make the event, please let us know as soon as possible.
- If you would like to add or swap one of your table partners, you must let us know at least 30 days prior to the event.
- We require this time to screen artists and process changes.
- We will not accept requests to add or swap within 30 days of the event.
- We have the right to limit or refuse partner swaps for any reason.
Cancellations
- The main registrant (the person who submitted the form) must attend the event to claim the table. You may not register then pass the table to someone else, including table partners.
- If the main registrant can no longer make the event, the table is considered cancelled and will be offered to the next in line on the waitlist.
- Cancellations within 30 days of the event will not be refunded.
- Upon cancellation, VSCIA membership is revoked as per our Society Bylaws, unless expressed otherwise. Membership fees are non-refundable.
Goods and artwork
- Goods sold must be created by the artist(s) in some way, and the artist(s) must have the right to sell them. We will allow a few select exceptions, but please email us to inquire about them. Artists may not re-sell commercial / officially licensed goods nor sell plagiarized / stolen artwork.
- AI-generated artwork is not permitted to be sold at the event.
- Artists may be asked at any time to provide proof of original work.
Jury
- Artists must opt-in to being juried in the registration form if they would like this opportunity. Applicants will be juried as a group (i.e. the artist submitting the form + all table partners)
- Considerations will include:
- Variety of goods: product types, amount of artwork, price points, unique niches
- Quality: table presentation, level of craftmanship / skill
- Style: we’ll be trying to ensure some balance of different styles across the market, including original work and fan art.
- Previous attendance: if we have many returnees on our lottery roster, we’ll try to bring in more newcomers, and vice versa.
- We will lottery all eligible applicants first, allotting up to 75% of available table spaces. The remaining applicants who have opted into the jury process will be handpicked into the last 25% of table space.
- Whether you sign up for a full or half table will not affect how you are juried.
- We are unable to provide personalized feedback.
Other policies
- We are an all-ages event. Adult material should not be on public display, but you may have a sign to indicate that this is available. Nothing inappropriate should be shown on the signs.
- Table display heights are restricted to a limit of 2m (6.5ft) from the ground. The artist must be able to reach the top with their bare hands while standing on the ground.
- We cannot guarantee that the tables will be sized as precisely as stated. Please design your displays accordingly.
- Pets are not allowed in the venue, with the exception of licensed assistance animals.
- We generally expect vendors to stay the entire duration of the event, but if there is an urgent situation that requires you to leave early (or arrive late) please let us know with advance notice if possible.
- If you or someone else at your table will be in a wheelchair, let us know during registration and we will try to ensure easy accessibility to your table.

VSCIA Membership
All table registrations will include a membership to the Vancouver Society of the Creation of Independent Art (VSCIA) for the registering artist upon full payment. (Others sharing the table with the registering artist will not receive membership.) Membership allows you to influence decisions regarding future MiniComi events by allowing you to vote at VSCIA meetings and opt in to meeting emails. Meeting attendance and email opt-in are completely optional, but you must have membership to claim your registered table.
This membership is valid for the year, until our next Annual General Meeting.
